Folders, documents, and files... oh my!

Q. I use the My Documents folder to store my files. With the large number of files that I have, is there a way to better organize things?

A. The simple answer is folders. Windows allows you to create folders just like you might do at your office or home office. This allows you to create “virtual” folders to move your documents into. Think of the My Documents as your filing cabinet.

To create a folder is very simple. Open My Documents, click on the word File at the top toolbar, move your mouse pointer to the word New, after a second a menu will pop up. Click on the word folder. A new folder, conveniently named “NEW FOLDER” is created. You can then rename the folder immediately by typing the new name you want.

If you mess up, you can rename later by highlighting the folder, selecting File, and then clicking Rename. Rename is also available as one of your Right mouse button menu selections.


Q. How do I move my files into one of the new folders I created?

A. There are a number of ways you can move the files. You can drag and drop them one at a time into whatever folder you wish. If you want to move multiple files, you can use some of the keyboard tricks I have written about.

To select a contiguous group of files, click on the first file and then hold down the SHIFT key and click on the last file in the group you wish to move and voila, all of the files are now highlighted. You can then drag and drop the whole group into the folder.


Q. What if the files are not contiguous? Can I still move multiple files?

A. Absolutely, using a similar method as before. The main difference is instead of the SHIFT key use the CTRL key. By holding the CTRL key while selecting your files, you can pick and choose which files you want and move them in one big group.
